Library Meeting Minutes 2-4-2006

 

 Gustavus Public Library Board Meeting

Date:     4-February-06

Time:        8:38 A.M.

Chris Spute called the meeting to order at 8:38 a.m..

Members present:  Chris Spute, Davita Marchbanks, Janet Lassiter, and George Jensen.    Others present: Carolyn Elder, Sylvia Martinez and Lynne Jensen.

 

January 2006 meeting minutes were read.  Davita made a motion to pass the minutes with corrections. Chris seconded.  All were in favor-motion passed

 

Old Business:

 

Fundraisers & Programs

Burgers & Bingo-

George asked the City Council if it would be okay to do this fundraiser and they approved.  They also said that we could continue to do fundraising this year without approval from them even though we have met our goal.  Discussion regarding a date in March for the Burgers and Bingo.  Chris made a motion to tentatively set this up for March 10th.  Janet seconded.  All in favor-motion passed.  Chris will order the food and recruit people to help.

Gardening- 

Janet will contact Mossy and let her know that we would like to go forward with this gardening seminar in April and will go thru the details to see what is needed and what parts she doing and what parts the library is doing and also get a date scheduled

Computer Class-

Kim Ney is interested in continuing the computer classes.  Carolyn will contact her to let her know that she can continue.  The board passed a motion in the December meeting that this qualifies under the meeting room policy as a not-for-profit program and she needs to pay for the space.

PFD help-

There was not enough interest to set up a PFD help session.

Murder in the Library, Night of a Thousand Stars, Bird Count and History of Gustavus programs-

We will talk more about these programs and fundraisers when the time gets closer.

 

 

Budget

Carolyn presented the library budget that was approved by the City Council.  We went thru the budget and discussed it.  Carolyn said that she needs to get with Lexa, the City Clerk, and go over the budget for clarification and better understanding.  Discussion regarding the extra summer reading program funds.  Davita made a motion to use the extra summer reading funds from last summer to replace supplies and prize books for the program this summer in case the library does not get funding from the school district. All were in favor-motion passed.

We have still have funds that need to be spent on books.  There are books that need to be replaced and George suggested ordering the latest award-winning books and current political issues with these funds. 

 

New Business:

 

New Hours

The new library hours will start February 10th if the City Council approves the proposal.  Sylvia is looking for volunteers to fill in the time she covers when she and the others go to the AKLA Conference.  If she can’t find volunteers she will post that the library will be closed during the times that can’t be filled. Carolyn would like to have chocolates and treats to celebrate these new hours and also Valentine’s Day on Monday, February 13th from 3-4 pm.

 

Library Conference Update

Everyone is still going.  Lynne has been accepted to the pre-conference class named “Rural Library Sustainability” so there will two people attending this course, Sylvia and Lynne.

 

Patron Card and Over Dues

What is considered a resident patron?  Chris contacted the city to see what the ordinance says about what qualifies a resident of Gustavus.  (The library is within the city parameters) so George suggested that we don’t make a big deal and set our own policy as what is a resident & seasonal patron keep this flexible to not exclude people who live here or own property but work elsewhere.  Discussion regarding what is a seasonal patron and should we charge. We will look at the over-dues and the policy regarding seasonal and resident patrons at the next work party and come up with something to bring to the board for next meeting.

 

Work Party

The next work party for the library is scheduled for Friday, February 10th from10-12 and 1-3

 

Community Survey

We still need to look over the survey and give suggestions.  Tabled until March meeting.

 

Performance Reviews

The City Council sent Chris performance reviews for the employees at the library.  The board needs to fill these out on Sylvia and Carolyn at get them back to the Council as soon as possible. Chris will forward theses to everyone for review and then contact us to schedule a special meeting.

 

Next meeting is set for Saturday, March 4th at 8:30 a.m. in the library
