A guide to using the scanner at the Gustavus Public Library

Scanning Instructions

You can use the Xerox multi-function machine to convert paper documents and pictures to electronic files. Then you can save, edit, print, and e-mail the files. There are many ways to use the scanner and the extensive software on the computer. The following instructions have been tested and they are one suggested way to get some specific tasks done. Scan the document on the Xerox

  1. Place the original on the Xerox multi-function machine as follows:

If the original consists of paper that can go through the feeder, place it in the sheet feeder at the top of the machine.

If the original is a book or other odd-sized or shaped object, lift the scanner lid and place the original face-down on the glass and close the cover.

  1. On the Xerox multi-function machine, press the Scan button.
  2. Optionally, use the controls on the multi-function machine to select scan settings such as the resolution.
  3. Press the green Start button on the Xerox multi-function machine. This will save the scan to the public folder on the Xerox machine.

Work with scanned document

From any library computer

  1. Start - All Programs - Xerox Office Printing - Scanning - Xerox Scan Utility. Your scan should be displayed in the public folder.
  2. In the settings menu, select the file format you wish to use.
    1. PDF (Adobe's portable document format) is often best for electronic documents.
    2. JPG is best for photographs
    3. TIF may be best if you wish to convert the document into text that you can edit with a word processor.
  3. Select the document in the public folder by clicking in it.
  4. Click the retrieve button. This will place it in the My Scanned Images folder and will switch the display to that folder.
  5. Right-click the file to open it or send it to another location such as your desktop. From there you can e-mail it, edit it, or do whatever else you intended to do with it.
  6. Delete the file from both My Scanned Images and Public Folder.
